Evergreen Coaching Program
What is it & why you need it
Evergreen coaching program lets you create a structured, time-based coaching journey that automatically adapts to each client’s stage. Instead of enrolling everyone into the same starting point, clients are placed into the correct phase and week based on their situation.
This is ideal for programs that follow a gradual progress system where clients may join at different times but still get the right content as per their stage. For example, maternity coaching, long-term mentorships, or phased transformations.
With evergreen coaching, you can deliver personalized content gradually while ensuring every client gets the right content at the right time.
How it works
As an admin, you can create a complete mentorship pathway for clients. This is useful when you want to take your clients through different stages or phases. For example, it could be a maternity coaching system for mothers who are expecting, in the pregnancy stage, in the postpartum stage, or other stages.
The evergreen system lets you divide your coaching program into phases. There are two types you can create: i) Custom Phase and ii) Special Phase or Pre-configured Phase.
In the case of the Custom Phase, you give the phase name and set up everything your way. The Special Phase gives you built-in phases to work with and helps to automatically deliver personalized content based on user input. You’ll learn more about it later in this article.
Currently, there are two default phases inside the Special Phase type: Pregnant Phase and Postpartum Phase. These are related to maternity coaching, but we’ll add more soon to help with other coaching structures.
Each phase is divided into Modules. Think of modules like stages within the phase or like a milestone designed to help clients master one theme at a time. Furthermore, modules consist of Weeks. So, a single module might need multiple weeks to complete.
Within the weeks, you add learning materials through lessons and add other coaching items such as tasks, exercises, trackers, etc. The lessons or items could be either Free or Premium, and it controls the client accessibility to the lessons/items. You’ll learn more about this later in this article.
Example: The Pregnant Phase might have 3 Modules which are 1st trimester, 2nd trimester, and 3rd trimester. The three modules or trimesters will have the following number of weeks respectively: Week 0-12, Week 13-26, and Week 27-40 (usual birth week). Inside each week, you’ll add learning materials along with tasks and exercises; for the clients to follow, learn, practice, and track their progress.
How to get started using it
To create a new evergreen program, navigate to Coaching -> Coaching Programs -> and then click the Add New Program button.

Just select the Evergreen option as the coaching type. Everything else is similar to any other type of coaching program you have on EzyCourse.

After creating the program, click the Visit button on the newly created evergreen program to go to the coaching feed.

From here on, you’ll learn how to manage different aspects inside an evergreen program and how your clients see everything.
Custom Phases, Modules, and Weeks
Your first ideal step should be to create a phase. To do that, click the Add New Phase button on the left-side panel.

On the popup, you can either add a custom phase or a special phase. Let’s first add a custom phase; and since we’re creating a maternity program, we’ll name it Pre-conception phase.

Click the Add Module button to include a new module. You can add multiple modules and name each one directly from here.

Also, you can choose and add the number of weeks to be added inside a single module. Just click the Add Week option inside the module.

Click the Create Phase button to add the new phase to the program. Notice that you can see the total modules and weeks you have on the phase.

You can also add new modules to a phase anytime by clicking the Add New Module button.

You can of course edit existing modules and add or delete weeks, if you want. Or, even delete a whole module.


Inside a module, you have the weeks where you can add coaching materials, tasks, exercises, etc. Simply go to any week and add the lessons or items as you want.

When adding a new lesson or item to the feed, you can make them Free or Premium. Choosing Free or Premium will have an impact, depending on some settings, whether your client has access to these lessons/items. More about this in the Settings section of this article.

Another useful feature is that you can reorder the feed for any week. Just click the three dots and select Feed Reorder option.

On the popup, drag and drop lessons/items to reorder the feed.

Special Phases
Now that you’ve seen how to add a custom phase, let’s add a special phase. To add a new phase, click the Add icon situated on the top right corner of the left-side panel.

On the popup, select the Special Phase option.

Currently, you can choose between two: Pregnant and Postpartum. Since we’ve already added a pre-conception phase, the next to follow should ideally be the Pregnant phase.

You cannot change the name of special phases. But, as for adding modules and weeks, they’re similar to custom phases. Click the Create Phase button to add the new phase to the feed.

You can switch between phases from the dropdown on the left-side panel.

Everything else is similar to custom phases in terms of adding new modules, weeks, etc.
Managing Clients
The Clients tab is where you can view the progress and state of all the clients that are enrolled into your coaching program.

You can filter the clients based on the phase they are in.

As the admin or coach, you can update the phase for any of your clients. Simply click the Details button and then you can view/update the phase from the popup.

In case of enrolling/updating special phases, you’d have to give some info that’ll help to calculate the due date and automatically enroll the client into the exact week they should be in.

Other options such as adding notes or searching for specific clients are similar to any other EzyCourse coaching program.
Evergreen Coaching Settings
The Settings tab lets you control different coaching settings and how your clients experience the program.

Inside Phase Management, you can reorder the phases in your program. Simply drag and drop phases to order them however you like.

Scroll down and you’ll find one more option. You can decide whether your subscription-based clients can switch between phases or not.
[Note: Users that purchase using one-time payment can always switch between phases, regardless of this setting.]

Premium Content Accessibility lets you control how clients view the premium content.

Yes - Subscribed users will get access to everything including the content outside of their subscription period.
No - Subscribed users will only get access to the premium content that’s within their subscription period. Outside the subscription period, the premium content will remain locked. But, they’ll have access to free content.
[Note: Premium content gets unlocked only for the particular week they are in. Following week’s premium content stays locked until the week begins.]
As for clients that join with one-time purchases, they get access to everything at once (regardless of the setting). That is, everything from current week + future weeks.
After choosing, scroll down and ensure you save the setting.

The final setting is Task & Exercise Submissions. This lets you control whether clients can submit tasks or exercises from previous weeks.

Yes - Clients can submit previous week tasks and exercises.
No - Clients can go back to view previous week content, but they cannot submit any task or exercise.
Make sure you save the setting when you change it.

Client Perspective
Clients will have to choose their phase when they try to view the feed for the first time. Depending on the phase type, they’ll see different options.
For custom phases, they will not see further options. Clients can simply select a custom phase and join the program. Note that our custom phase here is the Pre-conception phase.

For the Pregnant Special Phase, they can choose to give any one from the three options: i) first day of last period, ii) doctor’s predicted date, and iii) date of conception. This helps to calculate their due date automatically and in turn enroll them into the exact week of their pregnancy.

For the Postpartum Special Phase, clients only need to give the baby’s birth date so that the system can automatically enroll them into the correct week of the phase.

Once started, they’ll land on the right week and will be able to see an overview of their current state and how long to go, etc.

All users get access to current + future weeks’ free content. As for premium content, subscription based users can only access current week’s while coming week premium content stays locked. On the other hand, one-time or lifetime users get access to all weeks’ premium content.
As we’ve already mentioned, subscription-based users will get access to content depending on how you’ve set up the setting for your coaching program. Furthermore, tasks or exercise submission for previous weeks also depend on program setting.
